Venue handover & restoration
We stay until the hall looks like we were never there, and leave with a signed handover so the venue has nothing to bill you for later.
Post-event management · Delhi office · crews across India
Trucks loaded, hall handed back, vendor bills settled, and a report your finance and marketing teams can both work from. We take the event from its last hour to its final file.
01 / After the applause
Most of what decides next year's budget is settled in the three weeks after the lights go down, not on the night itself.
A conference closes at 6 p.m. By the next morning someone has to answer four questions: did we deliver what the sponsor paid for, where did the money actually go, what did delegates think when they got home, and what should change before the next edition. If nobody owns those questions, they get answered late, badly, or by whoever has the loudest opinion in the review meeting.
That gap is what our post-event team fills. On the final night we take over the venue handover, load-out and waste clearance while your staff are still saying their goodbyes. Over the following days we pull registration data, session scans, social mentions, vendor invoices and feedback into one place, then write it up in plain language with the workings attached.
Because we also plan and produce events, the reports are built by people who know which costs are fixed, which were negotiated, and why the AV invoice ran 12% over the estimate. Nothing gets explained away as "miscellaneous".
You get a closed book: every bill matched to a purchase order, every vendor released, every attendee thanked, every file named in a way that still makes sense two years later when a new marketing head asks what happened in 2026.
Contracts, approvals, invoices and handover notes indexed and archived, not scattered across inboxes.
Attendance, engagement and cost per delegate, each with the source sheet behind it.
Short, specific fixes ranked by impact, so the next brief starts ahead of this one.
Take the full wrap-up or pick the parts you need. Scope, dates and a single point of contact are agreed before the event, not after.
We stay until the hall looks like we were never there, and leave with a signed handover so the venue has nothing to bill you for later.
A written report and a dashboard you can open in a board meeting. Attendance against invites, session pull, sponsor visibility, cost per head, and what each number means.
Short surveys that people actually finish, plus structured calls with sponsors and key delegates. We separate noise from the two or three things worth fixing.
Every invoice checked against its quote, approval and delivery. We chase the vendor, not your accounts team, and close the gap between budget and actual in writing.
The thank-you note, the deck, the recording, the certificate. Sent while people still remember the event, in a sequence that doesn't feel like bulk mail.
One folder, clearly named, handed over with access rights sorted. Photos, videos, contracts, permissions and the final numbers, kept where the next team can find them.
Rooms we have dressed and closed
The same crews that build these halls are the ones who hand them back.
A fixed calendar from the closing session onwards, with a named owner for each stage and dates you can hold us to.
Load-out, venue cleaning, equipment return and a same-night debrief with your on-site team while details are fresh.
Registration data cleaned, surveys released, vendor invoices collected, photos and recordings sorted by session.
Budget matched to spend, sponsor deliverables checked, and the first draft of the report sent for your comments.
Final report presented, vendor accounts settled, thank-you mailers out, and the handover folder completed.
Archive access for your team, data pulled for audits or award entries, and early planning notes for the next edition.
You deal with a single post-event manager from handover to final report. No forwarding, no "that team will revert".
Every claim in the report is tied to a register, a scan report or an invoice. If the data isn't there, we say so instead of guessing.
Formats built with CFOs and procurement teams in mind, so the file clears audit without a second round of emails.
Load-out labour, transport and cleaning teams we have worked with before, so the last night doesn't depend on strangers.
The closure calendar is signed at kick-off. If a vendor delays paperwork, you hear it from us the same day, with a revised date.
Findings feed straight into the next brief. Clients who run annual events get a year-on-year comparison, not a fresh start every time.
Six areas: venue handover and restoration, event analysis and reporting, feedback from delegates and sponsors, financial reconciliation and vendor settlement, attendee follow-up, and documentation and archive. You can take all six as a package or ask for only the parts your team can't handle in-house.
Before, ideally. Joining two to three weeks ahead lets us set up the data capture, invoice tracking and handover checklist while the event is still being built. Wrap-up-only mandates are common too; we start by reconstructing whatever records exist, and tell you early if something is missing.
A first draft by day 10 to 14, and the final version within 30 days of the closing session. Simple conferences close faster; multi-city or multi-hall events with heavy vendor paperwork take the longer end of that window.
Yes. We work from the venue handover, the vendor list and whatever documentation the previous team leaves behind. Where records are incomplete, we rebuild them from invoices, emails and on-ground confirmations, and flag the gaps in the report rather than filling them with estimates.
Each invoice is matched to its approved quote, delivery note and sign-off. Clean bills go for payment on the agreed cycle. Where there's a difference, we take it up with the vendor directly, document the outcome and record the settlement or deduction in the reconciliation statement.
Our office is in Delhi and our crews travel across India, including the hill states and the Northeast. For outstation events we quote travel, stay and local labour separately so you can see exactly what the on-ground presence costs.
You do. Copyright, raw files and the attendee database are handed over at closure, with usage rights confirmed in writing with every photographer and videographer we engage. We keep a working copy for the agreed retention period only, then delete it on request.
On scope: number of days on site, size of the vendor ledger, number of delegates followed up, and whether reporting is a single event or an annual series. You get a fixed fee with inclusions listed before work starts. Expenses such as travel and third-party surveys are shown separately, at actuals.
